Wise Home Solutions - Automating Payment Collections for a Home Security Provider

The Challenge

Wise Home Solutions, a home security provider, used a CRM to manage its customers, invoices, and payments. While some payments were processed automatically, failed payments often required customer representatives to manually identify the issue and contact the customer.

Payments could be declined for several reasons, including insufficient funds, lost or stolen cards, invalid card details, or bank-level declines.

The existing process also required the CRM to go through customer records and load payment information, which could take 7–8 minutes. Wise wanted to automate this process and give its representatives a faster way to identify accounts requiring follow-up.

The Solution

Zibtek developed an automated payment tracking solution within Wise's existing CRM environment, built using a new .NET and Azure-based technology stack. The solution introduced two key tables:

01

Collection Table

The Collection Table automatically identifies customers with pending or overdue invoices and organizes the information representatives need to follow up.

It captures details such as:

  • Customer information
  • Payment due date
  • Invoice and payment details
  • Number of days overdue
  • Date added to the collection list

An Azure WebJob processes the customer and invoice information in the background and stores the results in a temporary table. This eliminates the need for representatives to wait while the system processes the entire customer base.

02

Decline Table

The Decline Table provides a consolidated view of declined payments.

Payment decline information is retrieved from Zift Pay and presented with details such as:

  • Customer name
  • Decline reason
  • Payment amount
  • Effective date
  • Customer address

Representatives can filter the table by time period, making it easier to identify and prioritize accounts requiring attention.

03

Making Payment Follow-ups More Efficient

The new workflow separates data processing from data access.

Rather than processing customer information each time a representative needs it, the Azure WebJob prepares the data in the background. Representatives can then access the relevant information directly through the CRM using an iFrame-based interface.

This gives Wise's team a centralized view of customers with overdue or declined payments and allows them to focus on taking action rather than manually gathering information.

The Impact

The solution helped Wise Home Solutions move from a largely manual payment-monitoring process to a more automated workflow.

  • Automated identification of overdue accounts
  • Centralized visibility into declined payments
  • Background processing of customer and invoice information
  • Faster access to accounts requiring follow-up
  • Reduced manual effort for customer representatives
  • Filterable payment data for easier prioritization
